Built for Google Workspace
Google Workspace email signatures, from the directory out
Connect once from the Admin console. Signifier fills one template from your directory, assigns it by organizational unit and group, and writes it into every Gmail account. Nothing for employees to install.
Connect with your Google admin account. No demo first.
One connection
An admin connects once. Everyone is covered.
Signing in with a Google Workspace administrator account grants Signifier access for the whole organization. The grant is narrow: read the directory, write Gmail signature settings, nothing else. Employees never see a prompt.
- Read-only directory accessNames, titles, departments, phones, photos, org units and groups. Signifier never changes the directory.
- Gmail signature settings onlyThe one Gmail setting it needs. Not mail, not calendars, not Drive.
- Revoke from either sideDisconnect in Signifier or in the Admin console under API controls. Either stops all access at once.
Your structure, reused
Organizational units and groups decide the template
You have already organised the company in Google Workspace. Signifier uses that: a template for the Sales group, another for the Berlin org unit, the company default for everyone else. Move someone in the Admin console and their signature moves with them.
- Org units for offices and divisionsChild units inherit the parent's template unless you give them their own.
- Groups for teams that cross the treeSales people sit in several org units. One Google Group gives them one template.
In Gmail, everywhere it is read
Written into Gmail, checked in every inbox
The signature lives in each person's Gmail account, not in a browser extension, so it is there on the web and follows the account. Before you publish, the preview shows how recipients in Gmail, Outlook and Apple Mail will see it, in light and dark mode.
- Phones tooIt is in the account, so the Gmail app on Android and iPhone carries it as well. Send one test from a phone before the company rollout.
- Recipients on anythingYour people are on Gmail; the people they write to are not. The preview covers the clients that matter.
Setup
An afternoon, not a project
- 1
Connect Google Workspace
Sign in with an admin account and grant the two permissions. The directory syncs within minutes.
- 2
Design and lock the template
Logo, colours, layout and legal line locked; directory fields placed where each person's details go.
- 3
Assign by org unit and group
Sales gets Sales, Berlin gets Berlin, everyone else gets the default.
- 4
Publish, to one group first
Watch it land in a few Gmail accounts, then publish to everyone. Changes later publish the same way.

FAQ
Questions from Google Workspace admins
Yes. It needs Gmail and the Admin console, which every edition has, from Business Starter to Enterprise. It is for Google Workspace accounts, not personal Gmail addresses.
No. An administrator connects Google Workspace once for the organization. Signatures appear in each person's Gmail settings without anyone installing an extension, approving a prompt or pasting anything.
Read-only access to the directory (names, titles, departments, phone numbers, photos, organizational units and groups) and access to Gmail's signature settings. It does not ask to read anyone's email, calendar, Drive or chat. The security page lists exactly what the connection can reach.
Yes. Assign a template to an organizational unit or a Google Group, in the order you choose. Sales, support and each office can have their own; everyone else gets the company default.
Yes. The signature is written into the person's Gmail account, not a browser extension, so it is there on the web and in the Gmail app on Android and iPhone. As with any rollout, send one test from a phone before you tell the company.
Addresses a person sends as, such as sales@ or support@, can carry their own signature, set from the same templates.
Yes, for the people you publish to. Their hand-made signature in Gmail is replaced by the company template, filled in with their details from the directory. Publish to one group first if you want to see it land before everyone gets it.
Google's footer is one fixed block of text per organizational unit, added after the message is sent, invisible to the sender and without personal details. Signifier writes a real signature into each person's Gmail, with their own name, title and number, visible while they write. The comparison further up this page sets them side by side.
