Features
One template. The brand stays locked.
Set the logo, colours, layout and legal line once. Leave open only what people should set themselves. What you publish is what every inbox gets.
Connect with your Google admin account. No demo first.
Locked and open
Decide what is fixed and what is theirs
Most of a signature should never be touched by the person sending it. A little of it should be. The editor lets you draw that line field by field.
- Locked by adminsLogo, colours, layout, legal line, the order of things. Changed in one place, by people you choose.
- Open to each personPronouns, a booking link, a mobile number. Optional lines that disappear when empty.
- Filled from the directoryName, title, department, phone and photo come from Google Workspace, so nobody types them.
Every inbox
See it the way recipients will
A signature that is perfect in Gmail can lose its logo in Outlook and turn unreadable in dark mode. The preview shows each client, light and dark, before you publish.
- Gmail, Outlook, Apple MailThe clients the people you email actually use, on desktop and phone.
- Light and darkDark mode inverts some colours and not others. You see what survives.
Roles and history
Who can change what, and who did
Admins lock and publish. Editors design and schedule. Viewers look. Every edit and every publish is recorded with a name and a time, so the question is never who changed the logo.
- Three rolesEnough to give marketing the keys to the template without giving them the keys to the connection.
- An audit logEvery change, in order, with who and when. Admins can read it any time.
How it works
From blank to every inbox in one sitting
- 1
Design the template
Pick a layout, add the logo and colours, place the directory fields where each person's details go.
- 2
Lock what should not move
Mark the brand parts as locked. Leave pronouns, a booking link or a mobile number open if you want them.
- 3
Check it in each client
Preview in Gmail, Outlook and Apple Mail, light and dark, with a real person's details filled in.
- 4
Publish
The signature is written into each person's Gmail settings. Change the template later and publish again; everyone updates.
The plain facts
What each role can do
Three roles, no custom permission matrix. Most companies have one or two admins and give marketing the editor role.
- Admins
- Connect and disconnect Google Workspace
- Create, lock and publish templates
- Assign templates to groups and org units
- Schedule banners and see clicks
- Invite people and set roles; read the audit log
- Editors
- Design templates and edit open fields
- Schedule banners and see clicks
- Publish, if an admin allows it
- Viewers
- See templates, campaigns and clicks
- Change nothing
FAQ
Questions about the template editor
They can set the parts you leave open, such as pronouns or a booking link. The locked parts, like the logo, colours, layout and legal line, can only be changed by an admin, and the published version is what lands in Gmail.
Yes. Make one per team or office and assign each by organizational unit or Google Group. Everyone who matches nothing gets the company default.
Anything in the Google Workspace directory: name, job title, department, phone numbers and photo. You place the field once in the template and each person's own value appears in their signature.
The preview renders the signature the way Gmail, Outlook and Apple Mail lay it out, in light and dark mode, so you catch a logo that turns invisible on dark backgrounds before anyone outside does.
Admins can do everything, including locking fields and publishing. Editors can design and schedule banners but not change locked parts. Viewers can look. Every change is in the audit log with who made it and when.
No. The editor is visual. The HTML that goes into Gmail is generated for you and tested in the clients your recipients use.
Not as files; there is no import of another tool's template format. Rebuilding one in the editor takes less time than it took to make, because the directory fields are placed, not typed. The comparison pages set out what changes when you switch.
